User roles and permissions: How to manage access in Handsal

To ensure the right people have access to the right documents, Handsal works with three different user roles. Here you get an overview of what each can do and how you manage them.

The three role levels

  • Super Admin: This is the top responsible for the entire company account. A Super Admin has access to all workspaces in the organisation and can control all overall settings.
  • Admin: The administrator has access to selected workspaces. They have rights to change settings within their areas and control which users should have access to the specific workspaces.
  • User: The user is the operative party in the workspaces they are assigned. They can create new cases, upload contracts, add milestones and chat with documents. They do not, however, have access to change the overall company settings.

Easy administration under the "Company" menu

As Admin or Super Admin you have full control over your team. Under the "Company" menu you can quickly and easily:

  • Add new colleagues: Invite them directly with their email.
  • Remove access: When an employee leaves the company, you can with one click remove their access so your data stays secure.
  • Change roles: Upgrade or downgrade permissions as your needs change.

Make the invitation personal

When you invite a new colleague to Handsal, you have the option to attach a personal message. Use this to welcome them, explain their specific role in the system (e.g. "Here is access to our sales archive"), or give them a short instruction on which folders to start looking in.

Security tip

We recommend that you only have 1–2 Super Admins, while the day-to-day managers of departments are assigned Admin roles for their respective areas. This ensures the best balance between security and efficiency.
