Guide to Workspaces and folders: Get your organisation in order

In Handsal, your structure is built to give you both overview and flexibility. Here you can read all about how to organise your cases correctly using Workspaces and folders.

What is a Workspace?

A Workspace is your overarching "office". This is where the foundation for your document management lies. As owner you have full control; you can easily create, name and rename your Workspaces so they fit your departments or projects.

Folders and subfolders

Inside each Workspace you can create exactly the folder structure you want. You can create folders, and inside these you can create subfolders at multiple levels. This makes it easy to archive contracts by e.g. year, client type or status.

Important about user access and security

When you assign a user access, it happens at Workspace level. This means:

  • A user with access to a Workspace automatically has access to all folders and files within it.
  • It is not possible to restrict access to individual folders under a Workspace.
  • Consider carefully who should have access to what – e.g. it may be wise to have a separate "HR & Payroll" Workspace that only management can access.

Moving contracts

Flexibility is at its peak when you work internally within a Workspace. You can freely move your contracts and cases between all your folders and subfolders. Note, however, that files cannot be moved or dragged across different Workspaces for security reasons.

Administration and deletion

As owner you can at any time add or remove users with a few clicks. Be very careful, however, if you choose to delete a Workspace: When deleted, all folders and cases disappear permanently. It cannot be undone, so always make sure to have emptied or secured important data first.
